(1) Use fragmented time to handle trivial matters

For example, reading articles on WeChat and checking Moments are some of our channels for obtaining information, but they are not worth spending a whole block of time on. Usually, we can use the time when we take the subway, take the bus or have lunch to check them out, so that it will not take up normal working time.

(2) Use concentrated time to handle trivial matters

For example, replying to emails and social messages, etc., an email or a message usually does not take up much time. If you reply to each one as soon as it comes in, you will be overwhelmed and your work efficiency will be very low. We can use the first hour when we turn on the computer at work as a concentrated time period for replying emails, or use a certain hour in the afternoon as a time period for replying emails. This way, the efficiency of handling emails will be very high. We cannot do whatever we want, so it is very good to be able to handle trivial matters in a concentrated manner.

(3) Learn to divide tasks

We should divide and process tasks in blocks according to their urgency and importance. We often need to do multiple tasks at the same time. Many people will be working on a quotation while thinking about making a product PPT and using WhatsApp to communicate with customers. They will switch back and forth between several tasks and end up not getting anything done.

The best way is to divide the task into blocks and do only one task at a time.

(4) Control social addiction

Nowadays, social software such as WeChat, Facebook, and Twitter have penetrated into our work and life. We will spend a lot of time on them unknowingly. Using time statistics tools, we can observe whether we spend too much time on social media. If so, we need to control the time we spend.

Adhering to the above four principles can basically ensure that we are in a single-task working state, avoid multi-tasking and multi-threading working state, and greatly improve our work efficiency.
